I'm usually floating around tools. Mindmanager for a while, then Evernote, then OneNote. Was on the road recently and had limited access to the web. Instead I used a thin Moleskine notebook (has to be geeky somehow, so it had to be Moleskine). Still using that setup at the moment. Pen and paper...hmmmm....

@Rick, thanks to your Toodledo and NirvanaHQ.com suggestions, I narrowed my PC GTD options down to Toodledo or Nozbe. This post help solidify my search for an app that follows the GTD approach: http://www.gtdhelp.com/200901/nozbe-vs-toodledo/

I'm on day 1 of using Nozbe http://www.nozbe.com/ and already feeling FREEDOM! ;-)

Rick, THANK YOU!! And when do I get to see you next? SMX Advanced? I can't wait to talk GTD for the PC!

If Toodledo synchs with Outlook, that would be a dream come true!

I can't talk about email without hyperventilating. Guess who owns whom....

So appreciate your insights, heeding!

Fantastic post Dana! I am also a productivity junkie, and so wanted to share a few thoughts.

You asked what folks on Windows machines use for GTD - I have been using a web-based app called Toodledo for a while. I'm not going to lie - it's ugly. :) But I almost never log in to the web app - they provide a number of ways to connect to the service via API. So my Android phone (via an app called DueToday), my iPad (Toodledo app), my Outlook task list (using Toodledo Outlook Sync), my firefox sidebar and my Google home page Gadget all sync with my master task list. Top it all off with a standalone app I can install on my windows machine, and we've got full coverage.
I've also heard good things about NirvanaHQ.com, but it's still new. A lot more user-friendly though. :)

The other thing I want to mention was in regards to Inbox-0. I keep my inboxes down to under 20 items most days - all of which are needed for a followup task. The way I pull this off is by really only reading each email once. When you sit down to process email, you either delete it immediately, respond immediately and file it (if you need the info for later), or add it as a task in your system and file it. I found that I used to spend a ton of time reading the same email over and over again, processing the information over and over, and that adds serious overhead. You can't procrastinate the inbox, or it owns you! :)

Yes, Anita, there's always room for improvement! That's partially why I wrote this post! ;-)

The 2nd desk was my desk at a previous job, and a few coworkers commented that either I was OCD or I wasn't getting any work done. (I admit to the former.) Having papers and folders everywhere is not an indicator of busy! Admittedly, however, I've slacked as work has exceeded hours in a day, and now it's back to scheduling more "organize" time.

Goal: Avoid desk as shown in 1st pict!

Bharati, I so appreciated your insight, which fit right in with quiet time. Yoga has been a goal, but I must not value it enough, because it hasn't been incorporated... yet. Time to self before turning on electronics has been very valuable, however.

I like your cycle: schedule – organize – execute – review. A good approach! That fits right in with Lyena's review/inventory once a week. I schedule 1.5 hours Monday mornings for such, but it's been too easy to allow other Monday "emergencies" to crowd out that time. Time to take control!

Lyena, more good input!! "Outcome thinking" is easier said than done, but I so agree. We need to have an end goal in sight, and it's our responsibility to have clients do the same. Otherwise, we cannot measure, and the tactics are more "shooting in the dark."

Thank you again for the GTD book and all your insights!!

Dana, I love this post, especially the photographs of the desk! (I hope the inside of my brain doesn't look like that first desk!) :)

No matter how organized we think we are, there's always room for improvement.

Excellent article Dana. These 12 steps need to be woven in the fabric of every professional's lifestyle whether a search marketer or in any other profession.

I vouch for Yoga which in the long run frees you from all the mental and physical toxins and gives you the positivity to face situations in life whether personal or professional.

The cycle of (schedule - organize - execute - review) is a never ending one and it has to go on but incorporating these 12 steps will ensure its smooth functioning.

Thanks a ton for the mention and the link.
